How Does it Work? / What's Included
Part 1: Bookkeeping System Setup/Review
Discovery Meeting
Understand the history, company structure, industry specifics, priorities and most importantly, you - the client, before diving in.
QuickBooks Online Health Check or Set Up
Review your current system and settings, OR setup a new, clean file to start fresh, and ensure a strong foundation.
Starting Balances
Review and/or setup previous year account balances to ensure an accurate starting point and a matching retained earnings... your accountant will love you for this!!!!
Accounting Structure
Review, fix and/or setup proper account structure (Chart of Accounts) covering assets, liabilities, equity, revenue, and expenses, along with standard or customized expense categories.
Part 2: Data Entry & Reconciliation
Bookkeeping Connections and Rules
Review and set up bank and credit card feeds, download transactions where possible, review transaction categorization and current rules.
Monthly Transactions
Categorize all transactions for all accounts—bank, credit card, petty cash, loans/lines of credit etc.
Account Reconciliation
Reconcile bank, credit card, and loans/lines of credit accounts in QuickBooks Online to appropriate statements.
Reconcile government accounts and QuickBooks Online accounts. (GST/HST, Payroll, Corporate Tax, BC PST, Employer Health Tax.)
Review
Review and flag final amounts for inaccuracies, inconsistencies, and missing items or documents.
Advise you on what's needed to complete your file and make it ready for your accountant or tax preparer.
Part 3: Final Items & Handoff
Sales Tax Filings
Where applicable and with CRA or Ministry access, catch up on sales tax filings.
Year End Preparation
Prepare accountant's year end package with all supporting documents and detailed notes relevant to your accountant about your file.
Optional 1-on-1 Review
A 30-minute online meeting to review your file together so your questions and/or concerns can be answered.
Handoff
You’ll receive a complete and accurate QuickBooks Online file ready for your accountant to import into their tax software.
Both you and your accountant or tax preparer will receive all the supporting documents and detailed notes sent via e-courier - a secure Canadian based communication and documentation transfer portal.
- Standard 30-day turnaround — actual turnaround will depend on file complexity and timeliness of receiving all required documents and access to all necessary accounts
- Pricing is based on the number of months of books, not the time it takes to complete the project
- Rush is available as an add-on

Bookkeeping Clean Up & Catch Up - Frequently Asked Questions
Is there a difference between a Catch-Up and a Clean-Up?
- Catch-Up means you’re behind — the transactions in your books haven’t been entered or only partially entered or reconciled.
- Clean-Up means the books exist but are messy, inaccurate, full of duplicated/missing transactions, mis-categorized entries.
Many projects include a bit of both, which is taken into account with the package pricing. I’ll review your file first and confirm exactly what’s needed before any work begins.
My books are a complete disaster. Is that too far gone to fix?
Not at all — I specialize in the tough ones!
As long as you have access to your statements, I can rebuild an accurate set of books from scratch. Most clients are surprised at how efficiently a messy file can be untangled once there’s a structured process and clear checkpoints in place.
This is a no-judgment space. Honestly, I've seen it all. My goal is to help you feel relieved and confident again, not embarrassed. Whether you’re one month or three years behind, this is a fresh start, not a lecture.

I'd like to proceed—how does this work? What are the steps?
- Pay a 10% non-refundable deposit
- Onboarding
- Complete intake form — you'll complete a short onboarding form to collect details about your business
- Sign contract — we sign an agreement defining the scope of work (engagement letter)
- Onboarding meeting — review your intake form for priorities, timeline, and what’s needed to get started
- Access — you provide all necessary access (CRA, QBO, etc)
- Documents — we will provide you with a list of all required documents (preferably electronic—PDF and CSV
- Deposit #2 (65%)
- Project kickoff — turnaround timeline begins at this point and we'll confirm the anticipated completion date
- Clean Up/Catch Up — setup review, data entry, reconciliation, data review, year end prep
- Follow-up — you'll receive notes about any missing items and red flags
- Balance payment (25%)
- Optional Final 1-on-1 review — recommended
- Hand-off
- You have a complete reconciled QuickBooks Online file
- Year-end package sent to you and/or your accountant (based on your instructions)
How long does it take?
The standard turnaround time is 4 weeks from the date all access and documents are received.
This ensures your file gets the full attention it deserves without delays waiting on missing pieces and communicating back and forth. I’ll confirm the official start date / anticipated completion date once your setup and document checklist are complete.
If you choose the Rush option, I guarantee a two-week delivery, based on when all documents are received.
Complex or multi-year projects may take longer, but I’ll always work with you and keep you advised on progress.
What if I’m missing receipts or statements?
That’s common! I’ll flag what’s missing so you know exactly what’s needed to complete your file.
In many cases, I can reconcile accounts with available bank data and mark any items for your accountant to review later. Sometimes we have to just go with what we have and let the accountant decide what to do next.
What happens if my accountant needs access mid-project? Or has questions after?
No problem. I can coordinate with your accountant at any stage, ensuring they understand what’s being completed, file status and what’s pending. This helps streamline your year-end process in your accountant's system and saves both of you time.. It also allows the accountant to make informed decisions.
For questions arising after handoff, I can communicate with the accountant and answer any questions they may have.
Is there a refund policy?
Because this service is online, involves an in-depth review, setup/corrections, data entry and reconciliation, document management, and more, payments are non-refundable once we've begun.
Service is broken down into a three-part payment schedule (see "How does it work?" FAQ item above).
Non payment of any portion will result in a halt on all work, thereby impacting expected turnaround timeline and delivery.
